Cancellation & Refund Policy

Compensation / Adjustment Policy

· Medical-Based Adjustments: If a player is unable to attend sessions due to illness, a subscription extension will be considered only upon submission of valid medical documentation. This request must be made within the ongoing subscription period and approved by academy management.

· Active Membership Clause: Compensation or adjustments will be provided only to active members. Requests made after the subscription has expired will not be eligible for any form of extension or adjustment.

· Natural Calamities: In the case of unavoidable disruptions caused by natural calamities, a maximum of 50% of the missed sessions may be compensated. Final decisions will rest with the management based on the severity and duration of disruption.

· Academy-Cancelled Sessions:

o Any sessions cancelled by the academy (management reasons) will be adjusted through make-up sessions or subscription extension, as deemed appropriate by the academy.

o If the academy cancels a scheduled training session (for reasons such as ground unavailability, coach absence, weather conditions, or operational challenges), only 50% of the session value will be compensated to the coach/service provider.

o The remaining 50% shall be considered non-payable, as the cancellation was initiated by the academy.

o Drizzle / Light Rain: Sessions will not be cancelled in case of light drizzle. Coaches and players are expected to continue training under safe conditions.

o Heavy Rain / Water Logging: If there is heavy rain or water logging that makes the ground unsafe or unplayable, the session will be cancelled, and full compensation.

· No Compensation for the Following:

o General absenteeism without prior notice or valid reason

o Personal travel, exams, or vacation schedules

o Public/Gazetted holidays and academy-declared holidays

Cancellation Policy

· All cancellations must be submitted in writing to the academy administration.

· No refunds or compensation will be offered for Academy-declared holidays.

· Cancellations before program commencement are eligible for a full refund minus GST.

· No refunds are applicable after the program has commenced.

· Membership transfers are not allowed.

· Medical-based cancellations require valid documentation.

· The academy reserves the right to terminate memberships due to policy violations.

· Confirmation of cancellation will be issued within 7 working days.

 

Refund Policy

· All refund requests must be submitted in writing with a clear explanation.

· Pre-program refund requests will be processed after deducting 18% GST.

· Approved refunds will be processed within 14 business days.

· Refunds will be made via the same payment method used for the original transaction.

· No refunds for voluntarily missed or unused sessions.

· The academy may decline refund requests deemed unjustified.

· Non-refundable Fees: Registration, GST, and Kit charges

Pause Policy

· Pause requests must be submitted in writing at least 3 days in advance.

· Unused pause days cannot be carried forward or adjusted in future subscriptions.

· Pause days exceeding the allowed limit will be treated as standard absences.

· Pause requests are subject to verification and approval.

· Pause period must be used at one stretch; partial pauses are not extendable.Pause Limits by Membership Duration

6 Months 28 Days Can be split into 2 pauses

12 Months 56 Days Can be split into 4 pauses

Final Days of Subscription:

If a pause is requested during the final days of a 3, 6, or 12-month subscription, only the remaining days within the subscription period will be granted. Subscriptions will not be extended beyond the expiry date.

 

Non-Adjustment for Missed Sessions

Missed sessions due to exams, family vacations, or other voluntary absences will not be compensated or adjusted. Consistent attendance is essential for player development.

Policy Amendments

· SUFC Academy reserves the right to amend any policy with prior notice.

· All changes will be communicated at least 7 days in advance.

· Continued participation post-notification indicates acceptance.

· Feedback may be shared within 7 days of policy updates.

· Final decisions on disputes lie with SUFC Management.

· Parents are responsible for staying informed through official communication channels.
